Digitalising your SME's accounting: software, obligations and best practices in Geneva

Digitalising accounting has become a major issue for Geneva SMEs. Gone are the days of paper ledgers and archive binders: digital tools now make it possible to automate data entry, reduce errors and save valuable time. But faced with the plethora of software on offer and the legal obligations to respect, many directors hesitate on the right approach. Here is a practical guide to digitalising your accounting in full compliance.
The first choice is the software. In Switzerland, the most common solutions for SMEs are Bexio (ideal for micro-enterprises and SMEs, from CHF 50 per month), Abacus (modular solution for medium-sized companies, from CHF 100 per month) and Swisstax (integrated with payroll solutions, ideal for fiduciaries). Since 2025, cloud solutions like Bexio or Klara also offer QR-invoice electronic billing, mandatory for certain transactions. The choice must consider your company size, sector and budget.
Legal accounting obligations are defined by the Swiss Code of Obligations (Art. 957 to 964 CO). Any company registered in the commercial register must keep regular accounts, retained for 10 years (Art. 958f CO). Digitalisation does not exempt from these obligations: digital accounting documents must be archived in a non-modifiable and accessible format. Since 2024, the Federal Tax Administration accepts digital documents during audits, provided they comply with preservation standards (QR-invoice, PDF/A format).
Invoice dematerialisation is another major advantage. The QR-invoice, introduced in 2020 and mandatory since 2022 for payment slip transactions, enables automated invoice processing: QR-code scan, automatic bank reconciliation, posting without manual entry. For an SME issuing 100 invoices per month, automation saves 5 to 10 hours of administrative work, equivalent to CHF 500 to 1,000 per month in saved working time.
Data security is crucial. With digitalisation, your accounting data is stored on servers, often in the cloud. The GDPR for European clients and the nFADP (new Federal Data Protection Act, in force since September 2023) impose strict obligations regarding data security and confidentiality. Check that your software complies with these standards and that data is hosted in Switzerland or the EU.
A common pitfall of accounting digitalisation is the temptation to automate everything without keeping human oversight. Accounting software is a powerful tool, but it does not replace professional review. An initial configuration error (incorrect VAT rate, poorly configured chart of accounts) can spread through all your entries and generate costly errors during tax filing. Have your software configuration validated by an accountant before using it in production.
